Private by Default

All resources in Vigilos - dashboards, insights, and reports - start as private. Only the creator can see and modify them. Resources remain invisible to everyone else, including organization admins, until explicitly shared.
There is no admin override for private resources. Organization administrators cannot view or access resources that have not been shared with them. This ensures strict privacy for exploratory work and draft analyses.

Sharing with Individuals

You can share any dashboard, insight, or report with specific users in your organization.

Open the share dialog

Open the resource you want to share and click the Share button.

Add a user

Search for the user by name or email and select them.

Set the permission level

Choose the permission level for this user:
PermissionAccess
ViewRead-only access. The user can see the resource and its data but cannot modify it
EditFull access. The user can modify the resource’s configuration, layout, and settings

Save

Click Share to grant access. The user will see the resource in their sidebar immediately.

Sharing Organization-Wide

To make a resource visible to everyone in your organization, share it without selecting a specific user. This grants access to all current and future members of the organization. Organization-wide shares also use the view or edit permission level, giving you control over whether the entire team can modify the resource or only view it.

Auto-Sharing Referenced Insights

When you share a dashboard, all insights referenced by its widgets are automatically shared with the same user at the same permission level. This ensures that recipients can view the data behind every widget without you needing to share each insight individually. The same applies to reports - sharing a report automatically shares any insights referenced by its chart, table, or big number blocks.
Auto-shared insights are tracked separately. If you later remove a user’s access to the dashboard or report, the auto-shared insight access is also revoked (unless the insight was also shared independently).

Access Request Workflow

When a user navigates to a resource they do not have access to, they can request access from the owner.

Request access

The user clicks Request Access on the resource page. They can include an optional message explaining why they need access.

Owner receives notification

The resource owner receives an access_request notification with the requester’s name, the resource, and any message.

Owner reviews the request

The owner can approve or deny the request:
  • Approve: The requester is granted view access to the resource
  • Deny: The request is rejected and the requester is notified

Requester is notified

The requester receives an access_approved or access_denied notification with the outcome.
Requesters can also withdraw a pending request at any time before it is reviewed.

Request Statuses

Permission Levels

Vigilos uses two permission levels for shared resources:

View

Read-only access. The user can see the resource, view its data, and interact with visualizations, but cannot modify the configuration, layout, or settings.

Edit

Full access. The user can modify the resource, including changing queries, rearranging layouts, updating settings, and resharing with others.

Notifications

Vigilos sends in-app notifications for sharing-related events:

Summary

Only you, until you explicitly share them. No one else in your organization - including admins - can see your private resources.
The dashboard and all insights referenced by its widgets are shared with the recipient at the permission level you choose. If you revoke dashboard access, the auto-shared insight access is also revoked.
